DOCUMENT MANAGEMENT -Value
Often
the value of documents are either misinterpreted or undervalued
by organizations without understanding what if they were to work
without those. Documents are the physical memory of organizations
and should have much more importance, than generally given.
To estimate the value of a document it is necessary to understand
* Operational value
* Promissory value
* Legal value
* Archival value
It is easier to understand if we ask what will be the cost to
a company if you loose or misplace a document with a legal value.
Some cases this is not directly measurable and can be very expensive
in terms of money as well as company goodwill.

Similarly
the promissory value of a document, archival value or its
operational value can bring disruption to businesses causing
direct and indirect losses. Example: loss of a cross-reference
table of price vs. discount, a missing regulatory approval
document or a lost promissory note can create enormous amount
of trouble to an organization thus calculating the value of
documents should consider all these aspects. Calculating the
effective value of documents is beyond the scope of this paper
and needs academic level studying.
So far we have been discussing some common properties of document
management, and now it is time to find out how it can be analyzed
in the local context. |
